How to manage the Puzzle Admin Portal

The Admin Portal lets you manage who in your firm has access to Puzzle, which companies they can see, and at what level. This article walks through adding team members, creating new client companies, and transferring account ownership.

Before you start

A few things to know:

  • Each firm has an owner. By default, the email address used to set up your firm is the only one with Admin Portal access.

  • Admin Portal access is granted per user. You can give other team members access to the portal so they can manage users and companies too.

  • Avoid sharing logins. Each team member should sign in with their own email. Shared logins (e.g. a generic bookkeeping@ address used by multiple people at once) can cause issues.


How to grant Admin Portal access to a team member

  1. From the Admin Portal, find the team member in your Users list.

  2. Click the three dots on the right.

  3. Click View user details.

  4. Toggle on Admin portal access.

That user can now log into the Admin Portal with their own email.


How to add a new user to your firm

  1. From the Users page, click Add users in the top right.

  2. Enter the email address (or multiple emails) of the team member(s) you want to add.

  3. Choose which companies the user should have access to (select individual companies, or use Select all at the bottom right to give access to every company).

  4. Choose the level of access.

  5. Click Send invitation.

The invitee will now appear in your Users list and have access to the companies you assigned.

Note: Adding multiple users with access to many companies at once can take a few moments to process. Larger invites take longer.


How to manage or revoke an invitation

  1. Find the user in your Users list.

  2. Click the three dots on the right.

  3. From here, you can remove user from firm.

Invitations do not expire automatically, so you can revoke or resend whenever you need to.


How to manage access on an individual company

If you want to manage which team members can access a specific company:

  1. Go to the Companies tab on the left.

  2. Find the company in the list.

  3. Click the three dots on the right.

  4. Click View authorized users.

From here you can assign or remove users at the individual company level.


How to create a new client company

  1. From the Companies tab, click Create company.

  2. Enter the company details.

  3. Under Chart of accounts, choose one of two options:

    • Template (use a pre-built chart of accounts, including any firm-specific templates available to you)

    • Blank (start with a blank chart of accounts and import your own)

Note: If you choose Blank, our team is here to support importing a chart of accounts before you can begin connecting accounts and categorizing transactions.


How to transfer ownership of a company

If a company was originally created under a personal or client email, you can transfer ownership to a different account (for example, a central firm address). Only firm owners are able to transfer ownership.

  1. Log into the company account that currently owns the company.

  2. Go to Settings, then Users.

  3. Make sure the email you want to transfer ownership to is added as a user. If not, add them first.

  4. Click on the user's permissions row.

  5. Click Transfer ownership.

  6. Once ownership has been transferred, log in as the new owner and revoke the previous owner's access if needed.

Note: You can only see the Transfer ownership option when you're logged in as the current owner of the account.
